Schedule:
This is a full time position working 40 hours a week. All library administrative staff may be required to work evenings, Saturdays, and Sundays throughout the year as part of the normal work schedule.

Job Summary:
Under the general direction of the Philanthropy & Partnership (P&P) Director, the P&P Assistant is a highly professional individual who will support the P&P department in securing and cultivating contributions from corporations, foundations and individuals. The Assistant performs a variety of tasks involving the donor database, reporting systems as well as event and meeting logistics. The successful candidate will have strong communication and interpersonal skills and demonstrate a commitment to teamwork. 
  • Processes all Foundation gifts on a daily basis, including preparation and delivery of deposits, entering gifts into donor database, generating and mailing acknowledgement letters/receipts, and completing other correspondence as needed
  • Updates database records. Performs database queries and creates accurate lists of donor data
  • Prepares statistical reports for internal and external audiences
  • Maintains knowledge of the donor database software and vendor services, keeping abreast via regular trainings 
  • Implements the Foundation's Annual Giving strategy by coordinating and tracking segmented campaigns, including generating accurate lists, performing mail merges, generates volunteer signatures, and fulfilling timely mailings
  • Assists with preparing and gathering information for Foundation annual audit as well as reconciliation of monthly financials in coordination with outside accounting firm
  • Assists with preparing materials for grant, sponsorship and other solicitation packages
  • Assists with planning and execution of all Foundation events, including on-site assistance
  • Assists with prospect research of individuals, corporations, and foundations
  • Assists with planning, execution and follow-up of Foundation board meetings, including meeting invitations, on-site audiovisual arrangements, preparation of minutes, distribution materials, etc.
  • Coordinates all workplace giving campaigns and monitors/promotes external giving accounts
  • Coordinates philanthropic subscriptions
  • Coordinates scheduling solicitation appointments with CEO, Director, board member(s), donor(s), and/or other key stakeholders
  • Maintains manual processing and acknowledging gifts, updating database records, running basic lists and reports, as well as contact information for key vendors and philanthropic registrations
  • Maintains a general calendar of departmental activities, including solicitation drop dates, grant deadlines, cultivation events, marketing material drop dates, etc.
  • Maintains orderly and updated SharePoint page for department
  • Performs additional related duties in order to meet the needs of the department, library and system

Job Requirements:
  • Graduation from high school or high school equivalency; college degree preferred
  • Knowledge and experience meeting deadlines, normally acquired through two years' experience working in an office environment, experience in fundraising setting required
  • Must be able to use various software, including Microsoft applications, and other technology to perform essential duties: Fundraising database experience required, Blackbaud/Raiser's Edge NXT experience preferred
  • MS Office Suite, including Word, Excel and PowerPoint
  • Must be able to lift up to 25 lbs. and push/pull a wheeled cart weighing up to 100 lbs.
  • Must be able to sit for extended periods of time
  • Must be able to use computer for extended periods of time
  • Must be able to read small print
  • Must be able to use a computer for extended periods of time
